What syncs
- Customers and products, when you create or change them.
- Invoices, with their line items, tax, shipping and any discount. Edit the order and the invoice is updated in QuickBooks. Void it in rastr and it is voided there too.
- Payments. Each payment you record goes to QuickBooks as a payment against its invoice, and voiding a receipt voids the payment.
What stays in rastr
Quotes and the job board don't go to QuickBooks.
rastr works with QuickBooks Online only. QuickBooks Desktop is not supported.
When it syncs
As soon as you save. There is no schedule to wait for.
If QuickBooks refuses an invoice or a payment, rastr shows you the error and nothing is half saved. The usual cause is a tax or payment method that isn't matched yet; match it and save again. Customer and product changes are different: they are saved in rastr even if the QuickBooks update fails.
Setting it up
- An admin opens Company Settings, then Integrations, and connects QuickBooks.
- Sign in to QuickBooks Online and allow the connection.
- Choose your sales account and the account that receives deposits.
- Match each of your taxes to a QuickBooks tax code, and each payment method to its QuickBooks counterpart.
- If you like, choose a discount account and a shipping item.
Which plan
QuickBooks sync is on the Business plan. If your shop moves to a plan without it, syncing stops, and you can still check the connection or disconnect. Compare plans.
